TERMS OF REFERENCE
THE EXECUTIVE OF COUNCIL
 
PURPOSE 
To support the effectiveness of the Council through communication between meetings and planning the agenda of Council. 
MEMBERSHIP 
  • Chair and Co-Chair of the Council
  • Clergy and Staff Associate(s)
  • Clerk of the Council (keeper of the Official Roll)
  • Secretary of the Council  
RESPONSIBILITIES 
The responsibilities of the Executive of Council are:
  • to function as a liaison group between meetings of Council 
  • to follow up on Council decisions 
  • to examine United Church remits (changes to the Basis of Union [constitution]) along with Presbytery Representatives and present them to the Council for action
  • to approve confirmations, memberships and weddings that fall within the (Feb. 18/92) guidelines and bring those names to the Council for information, and to bring (baptisms to the Council for decision those situations which fall outside of the guidelines; (removed) 
  • to prepare the agenda for Council and the Annual Congregational Meeting
  • In extraordinary circumstances the Chair may invoke an emergency meeting of Council 
LIAISON 
Liaison is with all committees and subcommittees of Council. 
Contact is to be made with the Presbytery Representatives on matters concerning other courts of the church. 
 
DUTIES OF THE CO-CHAIR OF OUC COUNCIL 
 
PURPOSE 
To co-ordinate and encourage the active participation of volunteers in the life and work of Orleans United Church and to act as Chair of Council in the absence of the Chair. (attached to the Co-Chair of Council effective January 16, 2001 at the Council meeting.) 
 
RESPONSIBILITIES
To enlist people to assist in a coordinating volunteers
To prepare for Council approval, a slate of committee candidates for the Annual Congregational Meeting (AGM)
To actively recruit volunteers for the work of the church
To keep the congregation advised of opportunities to serve in the life and work of the church
To maintain an inventory of volunteers and time and talent resources
Together with each committee, to assist in the development of job profiles for volunteer positions
To use various means to recognize and thank volunteers for their commitments of time and talent.   
 
LIAISON
The Co-Chair is to supply lists of volunteers to the appropriate co-ordinators (eg. Ushers, lay readers, coffee, greeters, etc.) 
The Co-Chair is to maintain liaison with all Committees and Sub-committees regarding vacancies and personnel needs.
